About This Privacy Statement
This notice explains how KeyBiz Consultancy OPC handles personal information through its website, client workspace, subscriptions, bookkeeping support, payments and feedback forms. It covers people who visit our website, create accounts, contact us or provide information in connection with our services.
For account administration and our own service records, KeyBiz determines the purposes of processing. When we process customer, supplier or employee records on a business client's instructions, our role and responsibilities depend on the service agreement and applicable law. The client remains responsible for ensuring that information provided to us is collected and shared lawfully.
How We Collect Your Information
We receive information when you register for an account, complete business details, submit records, request services, make or verify payments, send inquiries or submit feedback. Information may also be supplied by your authorized representative or by the business that engages us to process its records.
Website and workspace functions may generate technical records, login events and activity logs. The information collected depends on the feature used. We do not assume that every visitor uses every service.
Information We Collect
Depending on the service used, information may include:
- Account details: username, email, account credentials and verification status.
- Business and contact details: business and owner names, TIN, RDO code, tax classification, business type, address and mobile number.
- Records supplied for services: invoices, sales, purchases, expenses, customer and supplier details, accounting reports and uploaded documents. Payroll services may involve employee identity, attendance, compensation and government contribution information.
- Payment records: amounts, transaction references, payment status and supporting proof. Do not send banking passwords, PINs or OTPs.
- Support and feedback: Business Name, selected topic, star rating, message and testimonial permission.
- Technical and activity records: IP address, browser or device information, security and access logs, and recorded workspace actions where these functions operate.
Only provide information relevant to the requested service. Some fields are required to create an account, verify a payment or perform a service; without them, the relevant function may be unavailable.
How We Use Your Information
We use information to provide and administer services, manage accounts and access, prepare records and reports, verify transactions, communicate about requests, prevent abuse, investigate errors and meet applicable obligations.
We identify the appropriate legal ground for each activity. Depending on the information and circumstances, this may include performance of an agreement, compliance with a legal obligation, consent or legitimate interests where permitted and appropriately balanced against individual rights. Information requiring additional protection is handled only where the applicable legal conditions are met. This notice itself is not blanket consent to every form of processing.
- Administer accounts, email verification, subscriptions and access permissions.
- Provide the bookkeeping, reporting, payroll or filing assistance specifically agreed with a client.
- Verify payment references, investigate transaction discrepancies and maintain necessary service records.
- Respond to inquiries, support requests and feedback, and improve service usability.
- Review recorded activity to investigate suspected unauthorized access, errors or misuse.
- Meet applicable legal obligations and address lawful claims or requests.
Who May Receive Your Information
Relevant information may be accessed by authorized KeyBiz personnel and service providers needed to operate the website, hosting, email, support or payment functions. Banks and payment providers handle transactions under their own notices. We may disclose information to authorities where lawfully required or to authorized professional advisers where necessary for an agreed service or legal matter.
Where a provider processes information outside the Philippines, the arrangement must include appropriate safeguards and accountability. Information is not made public merely because a client uses the workspace.
Cookies and Website Technologies
Necessary cookies may support login sessions, security and user preferences. Additional analytics or other optional technologies depend on the tools actually enabled on the website. Refer to the separate Cookie Policy and available cookie settings for current details. Where consent is required, optional technologies should be controlled through the consent mechanism. Disabling essential cookies may affect login and other requested functions.
Feedback and Public Testimonials
Feedback is reviewed internally to improve services. If the separate optional testimonial permission is selected, KeyBiz may publish the submitted Business Name, feedback and star rating on its website. Publication requires a separate owner action; submission alone does not publish the feedback. Contact admin@keybizconsultancy.com to request removal of a testimonial or withdraw permission for future use.
How Long We Keep Information
We retain personal information only for the period necessary for its stated purpose, applicable recordkeeping duties and legitimate matters such as transaction verification or disputes. Account closure does not automatically require deletion of records that must lawfully be retained. When retention is no longer justified, information should be securely deleted, anonymized or disposed of, including under applicable backup cycles.
### 8. Security
KeyBiz must apply reasonable organizational, physical and technical measures appropriate to the information processed. Access should be limited to authorized people. No online system can guarantee complete security. Report suspected unauthorized access promptly to admin@keybizconsultancy.com, without sending passwords or OTPs. Incidents will be assessed and notifications made where required by applicable law.
### 9. Your rights and requests
Subject to applicable conditions and exceptions, individuals may exercise rights to information, access, correction, objection, erasure or blocking, data portability and other remedies provided by Philippine privacy law. Consent may be withdrawn where processing relies on consent; this does not undo lawful prior processing or remove a separate lawful retention obligation.
Send requests to admin@keybizconsultancy.com. We may ask for proportionate verification to protect the correct person's records. Do not send more identification than requested. Complaints may also be raised with the National Privacy Commission: https://privacy.gov.ph.
- Be informed about the collection and use of your personal data.
- Request access to your information and correction of inaccurate records.
- Object to processing or withdraw consent where applicable.
- Request blocking, erasure or disposal where the legal conditions are satisfied.
- Request data portability where applicable.
- Pursue remedies, including compensation where legally available, and lodge a complaint with the National Privacy Commission.
Requests are assessed under applicable conditions and exceptions. Withdrawing consent does not automatically erase records subject to a separate lawful retention requirement.
Promotional Messages and Your Choices
If KeyBiz sends promotional messages, you may request that they stop by emailing admin@keybizconsultancy.com. Necessary communications about an active account, an agreed service, billing or security may continue where supported by an appropriate legal ground. Testimonial permission is separate from receiving the requested service.
External Websites and Payment Services
Links to third-party websites or payment services are subject to those providers’ own privacy notices. Review the notice before providing information. A link does not give KeyBiz control over another provider’s processing.
Changes to This Privacy Statement
Material changes will be reflected in an updated notice and, where appropriate, communicated through the website or account contact details. Privacy questions may be directed to KeyBiz Consultancy OPC at the email or main office address above. The owner is not automatically designated as the Data Protection Officer by these terms.
